Prior to embarking upon a large-scale enterprise IT systems replacement, The Keyholding Company appointed Haulmont Technology to build and implement in three months a prototype mobile workforce management application. The pilot system was designed to deliver a proof of concept for a full system replacement project, by demonstrating the streamlining of operational control across its network of service partners nationwide.
CUBA Platform enabled the development team to quickly present screens and principle functionality to the client and then iterated upon the framework in response to feedback from users, operators and senior management.
The application was designed to extract job data from The Keyholding Company’s legacy system and enable Controllers to allocate jobs to key wardens with a far greater degree of control and transparency. By building a configurable job process designer and automatically generating execution histories, the system enabled The Keyholding Company to design multiple job types and build business rules to monitor them automatically.
In order to manage the keywardens in the field, an accompanying Android smartphone app was also developed to manage job status and enable data collection via mobile device. The custom-built job processes configured by Ops staff provided step-by-step task management for each visit type, prompting the key wardens to perform the correct actions, whilst logging results. The GPS tracks and time stamps feedback to the main system to provide an audit history of all activity for client reporting and all job data was then synched back to the legacy system for invoicing.
After just three months, the pilot went live with The Keyholding Company’s 40 London key wardens, quickly convincing the Board of the viability of a full scale enterprise solution. Having successfully delivered as a proof of concept, the system was then rolled out to 20 service partners and has gone on to be utilised as a core system for The Keyholding Company during a period of unprecedented growth. After almost two years operational service, the pilot is imminently to be replaced by CHASE – a full scale enterprise system built on CUBA Platform that manages all aspects of The Keyholding Company’s business operations, covering 400 service partners.
